Inventory Coordinator Position Description

Title: Inventory Coordinator
Reports To: Head of Merchandise and Shop Experience
Employment Status: Overtime eligible (Non-exempt)
Work Schedule: Total number of scheduled hours per week varies based on needs and does not exceed 24 hours per week.  Evening hours may be required in addition to special event coverage. 
Primary Functions: Provide a positive shopping and customer experience and catalog the correct inventory 

Customer Service

  • Create a welcoming shopping experience based on Post's gracious hospitality standards by greeting each visitor as they enter the shop, answering questions, and demonstrating knowledge of Hillwood and the museum gift shop products
  • Inspire the customer to buy a treasured impression of their visit to Hillwood by asking the visitor questions, suggesting museum gift shop product, and encouraging return shopping by making a personal connection
  • Provide a one-of-a-kind experience for visitors with a professional and gracious manner in person, online, or via phone or mail
  • Demonstrate a mastery of all museum shop systems and procedures to enhance selling efficiencies
  • Demonstrate a commitment to teamwork and internal customer service by completing all support duties to the highest standard
  • Total bill, accepts payment, and accurately makes change for customers. Operates cash register with integrated credit card processing.
  • Handle all returns courteously and professionally

Operational Excellence

  • Continuously expand knowledge of Hillwood, Marjorie Merriweather Post, and the collections
  • Develop product knowledge in order to communicate the connection to the Hillwood story to customers
  • Maintain displays, restocking as needed throughout the day 
  • Maintain the store appearance to include tidying displays, cleaning, and keeping a neat cash wrap area
  • Open store, including counting registers, ensuring adequate change, verifying safe, and engaging lights and music. Accurately remove and record amount of cash and checks in register at end of shift. 
  • Stamp, mark, or accurately tag price on merchandise in line with established protocols
  • Inform leadership of special orders and requests
  • Inform leadership of low stock levels
  • Adhere to loss prevention and inventory control procedures
  • Provide support as needed with receiving, pricing, inventory, and other functions
  • May provide support to Hillwood's online shopping platform by taking photos of merchandise, formatting photos, writing copy, pulling reports and orders, fulfilling, processing, and other routine tasks
  • Assist with annual physical inventory
  • Efficient and accurate use of point of sale software

Knowledge:

  • Demonstrated proficiency of sales and customer service techniques
  • Education, experience, or passion for museums, art galleries, or gardens
  • Polished customer service skills

Skills:

  • Basic math and computer access skills are essential. Must be able to make change in American monetary  units. 
  • Work well with a diverse group of colleagues and an international clientele
  • Flexible to the changing needs of each day and able to handle a fast-paced environment while providing a quality visitor experience

Abilities:

  • Detail orientation

Special vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Employee is required to move about their work area, between buildings and the campus grounds, ascend and descend stairs, and steep terrain. While performing the duties of this job the employee is subject outdoor weather conditions and temperatures which at times can be extreme. The noise level in the work environment is usually moderate and generally does not require the use of hearing protection equipment.
