Administrative Assistant

Within the sprawling 25 acres of Hillwood Estate, Museum & Gardens’ campus, an outstanding opportunity awaits an accomplished Administrative Assistant ready to embark on a journey of organizational excellence. Positioned as the linchpin of support for the Executive Director's Office and the entire staff, this role calls for a consummate professional capable of navigating the intricacies of Hillwood’s daily operations with precision and finesse. We are seeking an individual not only to fulfill the current role effectively but also to enjoy a long-term tenure, fostering growth and deepening their knowledge of how museums operate.

Your role will encompass fulfilling administrative tasks such as filing, screening of phone calls, mail distribution, postage meter accounts, and the procurement of office and breakroom supplies, and using Microsoft Office Applications and Tessitura for routine correspondence and reporting. 

In your capacity, you will book appointments and manage schedules, preventing conflicts and ensuring the alignment of the Executive Director's agenda with the core mission of Hillwood. You coordinate reservations and establish the settings for meetings and special events initiated by the Executive Director. Your meticulous touch extends to the financial realm as you submit and reconcile travel and entertainment expense reports for the Executive Director.

This role is also a master SharePoint user, overseeing the "Employee Site," maintaining organizational charts, staff directories, and a repository of institutional information. As a guardian of confidentiality, you assist in maintaining confidential records for the Executive Director's office, ensuring the trust bestowed upon you is upheld with the utmost integrity.

Hillwood's board management software, Boardable, becomes your ally as you manage documents and orchestrate meetings, shaping the strategic direction of Hillwood.

A storyteller at heart, research and compose biographies for key stakeholders, weaving narratives that resonate with the rich tapestry of Hillwood. Engaging with our neighbors becomes a formal endeavor as you publish a quarterly newsletter, fostering a sense of community and contributing to neighbor events that exemplify the spirit of gracious hospitality Hillwood is known for.

This role is deeply intertwined with the developmental heartbeat of Hillwood, as you assist the Development and Membership departments. Here, your skills shine as you compose letters, execute precise data entry in Tessitura, and attend meetings, contributing to the growth and prosperity of Hillwood's mission.

Requirements

  • A high school diploma or equivalent. An associate degree or formal training in a related discipline is preferred.
  • 3+ years of administrative experience, preferably in a museum or non-profit environment supporting a senior-level manager.
  • Proficiency in MS Office Applications with expertise in SharePoint, Microsoft Word, PowerPoint, and Excel. Experience with Tessitura preferred. 
  • Must be able to interview in-person between May 6, 2024, and May 17, 2024. The anticipated start date for this role is June 24, 2024. 
  • This role coordinates tasks and events on Hillwood’s NW D.C. campus. Therefore, remote work is limited.

    • Hillwood will contribute up to $1600 annually into your HSA if you elect single coverage or up to $3200 annually if you elect dependent/family coverage for the 2024 plan year prorated based on the effective month of your coverage. 
    •  Employee contribution rates for medical plans are based on the coverage level selected at the employee’s base annualized salary. Essentially, those with higher salaries pay more for their medical coverage. The maximum employee contribution is $170 per biweekly payroll, most employees pay much less for medical insurance. 
  • Retirement Savings Plan. Hillwood matches up to 3% with a discretionary match (up to 2% or more). The Hillwood contribution is 100% vested upon reaching three years of service.
  • Life and accidental death and dismemberment, short- & long-term insurance at no cost to the employee.
