Document Digitization & Knowledge Management Internship
Hillwood Estate, Museum & Gardens is a renowned cultural institution located in Washington, D.C., dedicated to preserving and sharing the legacy of founder Marjorie Merriweather Post. Internship Overview:
We are seeking a detail-oriented intern to lead a document digitization project and support the implementation of a Knowledge Management (KM) framework. This hands-on role offers practical experience in digital transformation, knowledge management, and project coordination.
Key Responsibilities:
- Develop and implement an organizational system for digital documents, ensuring easy retrieval and logical categorization
- Coordinate the scanning of historical and current documents using professional-grade equipment
- Establish naming conventions and folder structures for digital storage
- Monitor quality control of scanned documents and maintain scanning logs
- Train and coordinate with team members on new digital filing systems
- Document procedures and create user guides for future reference
- Structuring SharePoint as the central repository for institutional knowledge
- Organizing knowledge by department or function (Collections, Curatorial, Volunteer Management, Finance, Horticulture, etc.)
- Standardizing document formats and naming conventions
- Supporting governance processes, including access permissions and version control
- Create content for training sessions on knowledge sharing and system usage
Assist in the implementation of the Knowledge Management Framework, including:
- Structuring SharePoint as the central repository for institutional knowledge
- Organizing knowledge by department or function (Collections, Curatorial, Volunteer Management, Finance, Horticulture, etc.)
- Standardizing document formats and naming conventions
- Supporting governance processes, including access permissions and version control
- Create content for training sessions on knowledge sharing and system usage
Learning Opportunities:
- Gain hands-on experience with document and knowledge management systems, including SharePoint and Microsoft tools
- Develop project management skills by overseeing a full-cycle digitization and KM initiative
- Learn industry best practices for digital preservation, knowledge sharing, and information management
- Build experience in process documentation, training development, and system implementation
- Enhance organizational, analytical, and problem-solving skills
Qualifications:
- Current enrollment in Library Science, Museum Studies, Non-Profit Management, I/O Psychology, or related field
- Strong organizational skills and attention to detail
- Basic knowledge of document and knowledge management principles
- Proficiency with Microsoft Office Suite, SharePoint, and cloud storage platforms
- Ability to work independently and manage multiple priorities
- Interest in digital transformation, knowledge management, and process improvement at cultural institutions

This is a paid internship compensated at $20.14/hour. This internship is supported by a grant from AAMD. As part of the program, the intern must submit a 1-2 page written report summarizing their activities and key outcomes. The final report is due within 30 days of the internship's conclusion.
Additionally, this internship includes a one-year student membership to a professional museum association, such as AAM or AAAM.
The internship will take place in summer 2025 and will run for 10-12 weeks, based on a mutually agreed-upon schedule between Hillwood and the selected candidate.
